Choosing an organisation app starts with what you need to do. Todoist offers task lists and projects; Notion brings documents and databases together; TickTick combines tasks with features such as a calendar and timer; Molleva helps you move from thoughts you have written down to the day's essentials.

This guide is published by Molleva and includes our app. It is a comparison of official documentation reviewed on 18 October 2026. We have not conducted speed tests, tested synchronisation or measured effects on mental load for this guide. The suggested uses are things to consider, rather than measured results.

Start with the job you need the app to do

“Get more organised” can mean remembering personal admin, sharing project tasks, finding lecture notes or deciding what to do today. Write down an example of what is missing before comparing features.

Look at the tools that already do part of the job. If your team uses a project tool, you may only need a personal view of the next actions. If you lose decisions made in meetings, an accessible meeting record may matter more than a timer.

The article on why people stop using an organisation app helps you identify what stopped working in a previous tool.

What to check before choosing

First check availability on your devices and which plan includes the feature you cannot do without. Compare prices alongside the billing period and renewal terms, using the official website or store.

Next, look at how you enter information, find it again and adjust tracking. A statistics screen does not tell you which features you must use: some options can be switched off.

If connection requirements or getting your data back matter to you, check the exact offline conditions and export format. “Offline” does not necessarily cover every type of content or every device.

Todoist: capture tasks, then organise them

Todoist's Inbox documentation explains that a task added without a project goes into the Inbox. You can therefore capture an idea before deciding where to file it.

Projects and sections then organise the work. This is worth considering if you need several sets of tasks, with dates and project-based follow-up.

Todoist also offers Karma and goals. Its help explains how to disable them. During your trial, check the view and settings you want to use rather than assuming that this tracking is compulsory.

Notion: keep documents alongside work

Notion's guide to projects and tasks describes managing them alongside notes and documents. This can suit a need to find instructions, meeting records and related tasks in one place.

Start with a template or create a structure for your documents. When trying it, look at the steps needed to add a note and whether you can find the decision behind a task.

Notion's documented offline mode is available in its desktop and mobile apps, with the relevant pages downloaded. The publisher describes limits affecting subpages, databases and certain blocks. Check that the documents you need remain accessible under those conditions.

TickTick: tasks, a calendar and work sessions

The TickTick getting-started guide presents tasks, a calendar, the Eisenhower matrix, a Pomodoro timer and habit tracking. This combination may suit you if you want task planning and dedicated work periods in the same tool.

Before choosing, check whether the plan you are considering includes the views you need. The official features page lists the available uses, but a feature list alone cannot establish equivalent pricing or free-plan limits.

Begin with the modules you need. You can then decide whether habit tracking or statistics give you useful information.

Molleva: write it down, choose essentials and find a first step

Molleva is available on Android. Write down thoughts in Clear my head, choose up to three essentials for Today and keep other items in Later. Postponing, low energy mode and basic small steps are included in the free plan.

Premium adds features including more detailed small steps, rewording, search through past entries and full history. Prices in France are €4.99 per month or €49.99 per year, with the annual amount charged in one payment. Subscriptions renew automatically. Google Play shows the exact price before purchase. Compare the plans.

Guest mode lasts 14 days. Create a free account before the 14 days end to keep your notes and access your data across devices. Confirmed notes are saved on Molleva's servers; saving and synchronising them requires an internet connection. See the app's screens to decide whether its daily flow fits what you need.

Compare uses rather than award an overall score

App Documented use to consider What to check when you try it
Todoist Inbox capture and project-based organisation Your daily view and the tracking settings you want to keep
Notion Notes and documents linked to projects and tasks The chosen template, its upkeep and the pages available offline
TickTick Tasks, a calendar, a timer and habits Which modules you need and whether your plan includes them
Molleva Clear my head, Today, Later and small steps How this personal daily flow fits alongside your existing tools

This table summarises the documentation cited above. It does not rate users' mental health or the overall quality of each product.

Try a few current commitments first

Add a straightforward action, a project that needs a starting point and something waiting for a reply. Try finding each one again and postponing one. If you need a shared tool, check how sharing works with the people involved.

Two tools may have different jobs: a team project tool for shared work and a personal space for planning your day, for example. Avoid maintaining two competing versions of the same deadline.

The guide to choosing an app without gamification covers counters and settings in more detail. Keeping your current tool is also an option if a few changes meet the need.

Questions about choosing an app

Which organisation app is best?

This comparison cannot identify one best product for everyone. Choose according to the task, your devices, the people you work with and the features actually included in the plan.

Are Todoist Karma points compulsory?

The official help describes switching off Karma and task goals. Check the settings in your version before changing apps for this reason alone.

Can an app guarantee less mental load?

This comparison establishes no such guarantee. A tool may make a commitment easier to find or a next action clearer. It does not set deadlines, decide the amount of work or provide the help you may need.
